The Role
This role is for someone who loves process improvement, obsesses about operational details, and cares deeply about the member journey from end-to-end. As someone who gets energised about taking an active role in running our spaces, the Operations Coordinator maintains oversight over day-to-day location management while ensuring the nitty-gritty details of our finance and office administration are in tip-top shape.
Key Responsibilities
• Works diligently on day-to-day location operations by taking an active role in weekly meetings and delegating tasks to facilities and support staff
• Takes the lead with new move-ins and office moves, ensuring products are properly invoiced and offices & desks are delivered on time. Keeps track of occupancy metrics & contracts
Manages keycard administration and access control and tracks office supply orders and stock
• Accounts receivable: is the main point of contact for our community with regards to outgoing invoicing and credit control; ensuring credits and debits are properly maintained
• Accounts payable: codes incoming invoices, tracks facility budgets and maintains contact with key suppliers
• Controlling. Works closely with the Head of Operations and Finance Controller to ensure monthly checks and balances are carried out
Assists the community support (reception) team, ensuring the best support is provided to our community
• Assists with reception duties during sick days, vacations and lunch breaks
• Delivers excellent internal communications: keeping our community manuals, web pages, guides and Slack channels up to date
• Assist other members of the Spaces team with events, support, communications, tours, and facility projects where necessary
Your Profile
• 2+ years experience in an operations role, preferably in a startup or co-working environment
• Process-oriented and an innovative problem-solver who can turn chaos into structure
• A can-do attitude and willingness to take an active role in running physical spaces
• A generalist - can bridge the gap between finance, facilities, events, sales, and customer support and willing to help out where necessary
• Outstanding written, verbal and interpersonal communication skills
• Impeccable detail-orientation, organisational skills and time management
• Experience with Microsoft Excel and Google Suite
• Experience with CRM systems such as Hubspot, customer.io or OfficeRnD and automation (Zapier) is a plus
• Experience in hospitality and/or customer service a plus
• Background in finance, project management or business administration a plus
• Fluency in Dutch & English
