Key Accountabilities (External)
• Undertake work processing duties, including formatting letters, memos and reports prepared by the Division to an acceptable standard of accuracy and timeliness.
• Arrange on request, appointments, visits and travel arrangements for the Divisional Staff so that their time is used effectively.
• Compile and type major reports incorporating information from variety of sources.
• Establish, maintain and update a divisional filing system which ensures that documentation is easily accessible. Maintains office supply inventory, orders supplies, monitors and processes payments.
• Respond to, on behalf of the divisional staff straightforward correspondence, queries and enquiries within established guidelines.
• Support divisional staff in typing assignments, memos, transcripts of minutes and reports.
• Maintain a strong follow up on pending matters and coordinate with the concerned people in order to get the matters accomplished as desired.
• Work on any special projects and carry out any other duties and tasks as assigned by the Divisional Head.
• Support in maintenance and update of the Divisional Quality Manual.
• Apply the Quality Policy and Quality System established in accordance with ISO 9001: 2000 international standards and execute all responsibilities according to the department work procedures while reflecting EKFC Quality Policy.
Essential Requirements and Competencies
• A level or equivalent qualification. Operational training will be an added advantage.
• Should have knowledge of modern office practices and procedures, including business correspondence, record keeping systems, and office equipment.
• Should have the ability to type correspondence and other documents in a variety of formats from clear copy or rough drafts at a minimum of 35 words per minute or a speed necessary for successful job performance.
• Minimum 3 to 4 years experience in a secretarial or administrative role.
