What Will You Do as a Project Coordinator?
Responsibility and Accountability for Project Delivery
CRM
• Ensure ongoing or immediately closed projects are added to CRM
• Maintain Resource Plan
• Updated utilization by employee
• Update leave by employee
• Utilization calculation
• Available Resources
Project Health Tracker
• Create and maintain for DIA specific projects
Acumatica
• Create and maintain projects
• Weekly timesheet checks
Client Feedback Surveys
• Send and follow up for projects closed
• Send and follow up bi-annually for long term projects
• Capture results monthly
Client or Project Administration
• Complete vendor applications
• Ensure NDA’s are signed
• Ensure signed POs or quotations are received
• Ensure Service Agreements or similar are signed if required
• Arrange all necessary access or equipment for employees on the project
• Arrange client availability for delivery process
Invoicing
• Ensure accurate invoicing information is given to finance monthly and on time
• Ensure accruals are maintained
• Ensure debtors are followed up with
Operations KPIs
• Ensure accurate and timeous information required is provided
• High level tracking of revenue to budget
• Committed Revenue
• Team utilization
Minutes
• Take minutes in Manco
• Follow up on actions for Exco and Manco minutes
Team Travel
• Book flights
• Book Accommodation
• Book Car Hire
• Keep track of travel costs against projects
Who Do You Need to Be to Become a Project Coordinator?
• Relevant Bachelor’s Degree e.g. Computer Science, Business Management, Informatics
• At least 1 year of experience as a Project Coordinator
• Proficient in MS Office applications
• Advanced in MS Project
• Strong problem solving skills
• Excellent communication skills with the emphasis on relationship building, understanding business requirements, and management of business expectations
• Effective planning and organizational skills
• Ability to work under pressure and be deadline driven
• Eagerness and willingness to learn - a positive attitude is everything!
