Position Summary

The Library’s administration is responsible for administering the policies and procedures of the University and the CSU as they affect library operations, and establishing local policies that enable the Library to provide the highest quality services possible to its users. It is the principal office of the Library, housing the dean and other administrators. In addition, staff members in this office provide various types of support to library management: clerical, development, fiscal, human resources, communication and facilities. The Library’s budget is approximately $11 million and employs 80 faculty and staff as well as approximately 100 student assistants.

The Administrative Office is currently comprised of five managers: the Dean, Associate Dean, Acting Assistant Dean, Director of Library Information Technology and Digital Initiatives and the Director of Fiscal Operations and Human Resources. Support staff includes 4 administrative analyst/specialists, 2 public affairs and communication specialists, 2 administrative support coordinators, and student assistant support.

Under the general direction of the Associate Dean and the daily lead direction provided by the Facilities and Projects Specialist, this Facilities and Projects Specialist position verifies packing lists against received materials, assists with the coordination of deliveries, schedules staging area move dates, coordinates the production of work orders with the Facilities Coordinator and Budget Director, assists with the placement of large furniture orders and contacts outside vendors via phone or email as required.

The incumbent assists with project management for facility renovations as the library adapts to changing needs of our students and faculty. This individual will work closely with others to facilitate the successful implementation of space renovations, collection relocations and deaccessioning.

The incumbent regularly participates in the coordination and planning of activities that are included in the strategic goals of the library. This person is expected to make use of creative approaches to create and implement solutions to complex problems and issues.

It is this staff member’s responsibility to ensure that the library’s facility is an accessible and intellectually stimulating place and serves in a back-up role during the absence of the Facilities Coordinator.

This is a full time (1.0 time-base) benefits eligible, temporary position anticipated to end on or before June 30, 2022 with the possibility of reappointment. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications

• Experience with facilities coordination in a large educational setting.
• Working knowledge of CalOSHA, ADA, Fire Safety Code, and Uniform Building Codes that relate to Library buildings.
• Ability to plan, monitor, and oversee projects.
• Ability to visualize possibilities and present ideas for new space use, ability to read floor plans and calculate assignable square footage (ASF).

Specialized Skills

• Ability to work with administrators, faculty, staff, donors and students in a collegial atmosphere
• Ability to make decisions based on broad input

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $3,156 per month. CSU Classification Salary Range: $3,064 - $5,148 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
